Terms & Conditions 2023

(drafted using guidance from the Greener Camping Club)

By making a holiday booking you accept the following Terms and Conditions:

To comply with countryside planning policy, we operate as a Greener Camping Club members-only campsite. The Club was established by people with a passion for sustainable, eco-friendly camping holidays.  When you book your holiday with us, you will be enrolled as a member of the Club. Membership costs £12 for the calendar year and gives you access to some of the greenest campsites in the UK.  We will issue your membership before you arrive for your holiday. ​Payment -  We request a 30% non-refundable deposit when booking a camping pitch or glamping tent.  Receipt of the deposit secures your booking. Please note that the deposit includes full payment (£12) for your Greener Camping Club membership plus any Hipcamp commission if you have booked through this company. Both fees are non-refundable by the organisations. Reservations are held for up to 48 hours provisionally, after which if we have not received your deposit, the dates will be released again. The balance is required 3 weeks prior to your arrival date. If we do not receive your balance by this time, we will assume you have cancelled your holiday and release the dates.  For short lead-time bookings – i.e., those booked less than 3 weeks before arrival, the full amount will be requested to secure the booking.

​Cancellation by us -  Cynefin reserves the right to cancel a camping or glamping booking at short notice if we are unable to provide a safe camping environment, due to extreme weather conditions, ill health, fire, flooding or any other extenuating circumstances beyond our control.  Under such circumstances, your full payment will be returned to you (apart from the £12 GCC fee and any commission paid on a Hipcamp booking).   Cynefin cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation.   

Cancellation by you -  If you cancel your booking there will be no refund of your 30% deposit.  This money will already have been used to pay the £12 Greener Camping Club membership fee (which is not refundable) plus any commission that might have been paid to Hipcamp (which is also never refunded by them). A small amount is kept by us for administrative costs.

If you need to cancel your holiday for any reason after you have paid the balance (3 weeks before the holiday is due)  We will try to rebook your pitch but in the event that we are unable to re-let your dates because of short notice, no refund will be made.   This is to try to stop people not turning up or cancelling at the last minute because they have seen the weather forecast and then asking for their money back! 

Bookings are not transferable to another family without our prior agreement in writing. If you are concerned about the prospect of cancellation, please take out holiday insurance.

We will do our best to offer you alternative dates for your holiday. As a small business, we are wholly dependent on your custom for our survival. We realise these are still difficult times for all, but your support will help us get through this and continue to make Cynefin a wonderful place to stay.

​Weather - Wales can have some harsh weather conditions.  Very strong winds and torrential rains can occur at any time of the year.  You must ensure that your tent is robust and pitched correctly.  The owners will keep an eye on the weather and suggest to campers the best position to pitch a tent depending on the forecast.  In some cases we may ask you to move to another pitch if there is more shelter and the weather turns stormy.  Please note, we do not provide a refund because the weather has not worked out, or is not to your liking.   It rains in Wales a lot, that is why the land is so green. 

​Arrival & Departure Times -  On arrival day, the camping pitches and tents are available from 4pm until 6pm.  If you are going to arrive later than this could you please inform us by phone of your arrival time please and we will ensure someone is there to meet you.   On departure day, please vacate all camping pitches by 11am at the latest. Changeover day is a very busy time with tidying up the pitches, mowing grass and cleaning and preparing the tents for the next holiday makers. Please help us by sticking to the arrival and departure times.

​Children and Adult Safety - There are many opportunities for play and adventure on our site. Our aim is for children to have a truly enriching experience of space and freedom. But there are contingent risks to be aware of. We allow campfires in our fire pits, there are shallow ditches bounding our land which can be full of water after rain, there is a small wildlife wetland area and some of our woodland is natural and un-managed. These risks are small and should be self-evident, but if you are not clear, please ask. Cynefin Eco Camping accepts no responsibility for injury incurred on site. Parents are responsible for the supervision of their children on site at all times.

Cars - The speed limit while on our site is 5 mph. Because of the fragile nature of our wildflower meadows no cars are allowed on the meadows or on the grassy verges bordering the tarmac road.  Cars need to be parked only in the car parking area by the barn at the bottom of the tarmac roadway.  Wheelbarrows will be available at all times to move your equipment to your tent. This is the easiest way to ensure the meadows do not get churned up after any prolonged amounts of rain.  Help will be provided by us if required.  We do not accept caravans or campervans as we do not have any hardstanding pitches or have facilities for disposal of chemical toilets.

Recycling & Rubbish - A condition of camping here is that you recycle all your rubbish as much as possible - separating glass, cans, plastic, paper, cardboard etc and placing them in the special bins provided. What is left, i.e., anything that is not recyclable can be placed in the black bag in the landfill bin.  You are out in the country and wildlife enjoy a free meal so please don’t leave rubbish or food out overnight or your tents open when you are not around.  We have some very active badgers, foxes and small mammals on site.

Campfires & Firewood - Please only use the designated campfire pits provided and do not enlarge or alter the position of the designated campfire places. Do not leave your campfire unattended and think carefully about whether or not to light a fire if it is windy. We do not accept any responsibility for injury or damage caused by your campfire. By lighting it, you accept full responsibility for it.  Be mindful of Global Warming – is it absolutely necessary to have a large fire every day or should it just be for special occasions?  Because of this we no longer offer free trugs with every booking or offer free fire lighters. All trugs to buy are made up of collected wood from our site and cost £3.  We attempt to ‘tread lightly’ on our land.  We also have a ban on disposable BBQ’s.  This is because they are very difficult to recycle and both unethical and wasteful.  We still offer free pans and grills for food cooking over the open campfire.  As our climate becomes warmer it is necessary to be extremely careful of putting the fire out at the end of the evening.  We recommend a bowl/pan of water poured directly into the firepit please. 

​Consideration for Others - This is a peaceful, quiet campsite for the enjoyment of nature. Please respect other campers by not making excessive noise after 10.00 p.m. Noisy visitors who disturb other guests will be asked politely to leave, without refund.

​Day visitors - Day visitors are only permitted by prior agreement.  Please ask before you invite.

​Dogs - We do not allow dogs on our site, sorry.   We tried having dogs in 2020 but found that too many owners did not follow our simple rules.  I apologise to all the lovely dogs who camped with us and the owners who fully supported our rules. You might see the occasional well behaved dog on site who belong to the owner’s families.

​Smokers - All our glamping tents are strictly NO SMOKING. If you smoke, do it outside and dispose of your cigarette ends in the firepit or in the ash bin.

Property Loss - Cynefin Eco Camping cannot be held responsible for any lost or stolen property. Take sensible precautions by not leaving expensive equipment in your tents.

​Gas for the Camp Kitchen (glamping tents only)  -  Gas for the camp kitchen cooker is included in the price of the booking for the tipi or the bell tents. Please use the gas cooker in accordance with our instructions and never leave anything aflame if you are not in attendance.

​Breakages & Damages (glamping tents only)  -  If upon arrival you find any items or fittings, utensils, crockery, or cutlery are broken, damaged or missing, please report it to us and it will be replaced as soon as possible. Should any significant damage or breakage occur, other than acceptable wear and tear, a charge for replacement may be made. We reserve the right to charge for excessive cleaning where a tent has been left in an unacceptable condition, through waste, litter, interference in the structure, movement of furniture and contents etc. Guests will be held responsible for any fire, smoke or general damage, or alteration to the structure caused by negligence.
